Attendance Procedures

The following attendance procedures are designed to help you navigate through the process of reporting your absences, requesting subs, and confirming your attendance at seminars, workshops, and meetings. Absence Management, District 21’s attendance tracking and substitute assignment system, tracks staff attendance, so you will need to enter your absences even if you do not require a sub.

A Bereavement or Jury Duty Absence Notification Form must be completed for bereavement or jury duty leaves. A Personal Day Special Request Form must be completed when requesting personal days before and/or after holidays, during the first five or last five days of the school year, or when more than two consecutive personal days are being submitted in the special request. Please make sure your information is complete and that the correct documentation is attached. Note that you cannot elect to “take” a dock day. Only Dr. Connolly has the authority to approve a dock day.

SICK DAYS

All sick days must be entered into Absence Management. Entering them as early as possible will increase the likelihood of your absence being filled by a substitute.

When returning from an absence of five or more consecutive work days, you must submit a doctor’s note to Human Resources before resuming work.

If you are ill or having surgery and anticipate that you will be out more than five work days, you need to contact Dr. Lynn Glickman to schedule a meeting. If you are unable to contact Human Resources, please have a family member phone Dr. Glickman at 847-520-2724.

PERSONAL DAYS

All personal days must be entered into Absence Management. Entering them as early as possible (more than 24 hours before the start of the absence) will increase the likelihood of your absence being filled by a substitute.

If you request a personal day on a day preceding or following a non-attendance day, school holiday, vacation or recess period, during the first five or last five days of the school year, or more than two consecutive personal days:

  • Complete a Personal Day Special Request Form in advance with an explanation for requesting the day
  • Include supporting documentation
  • Sign the form and send it to Human Resources
  • Please allow 7 days for your request to be processed
  • You will be notified if your request has been approved
  • If your request is approved, enter the absence in Absence Management

Please note that such requests are only approved in very special circumstances.

JURY DUTY

If you have jury duty:

  • Complete the Bereavement or Jury Duty Absence Notification Form in advance
  • Sign the form
  • Attach a copy of your jury summons
  • Send the form and supporting documentation to the Human Resources Department via interschool mail
  • When you receive your jury duty summons, enter your absence into Absence Management as soon as possible

If you are required to report for jury duty, send your receipt to the Human Resources Department when you return to work. You may keep your court-issued check for your expenses. If you are not required to report for duty, delete the absence in Absence Management.

You will not be charged for your day(s) off while serving time for jury duty.

BEREAVEMENT

If you need to take bereavement leave:

  • Complete the Bereavement or Jury Duty Absence Notification Form
  • Include supporting documentation
  • Sign the form and send it to Human Resources
  • Enter your absence into Absence Management as soon as possible to allow your preferred substitutes time to view the assignment

Please note that days used in advance of bereavement of a family member are counted as sick days.

PROFESSIONAL DEVELOPMENT (Seminars, Workshops, and Meetings)

If you have been approved to attend a professional development opportunity or meeting either within or outside the district, enter your absence into Absence Management as soon as possible.

If you are unable to attend the event, delete the absence in Absence Management.
